Booth Fascia, Signage & Furniture Orders
All details relating to your booth fascia, signage and furniture orders can be ordered online via a personalised link issued by Harry the Hirer. The link is issued via email. Please contact Harry the Hirer above for more information and or instructions.
Wall system – Aspen
The Aspen exhibition booth is a complete modular system with a flush white wall finish. Each wall panel is a complete set consisting of an aluminium frame skinned with 3mm white PVC. As a complete frame system, there are no extrusions resulting in a near-flush wall finish.
Stand signage
All open aisle frontages will have a printed fascia sign with stand number and company name.
Lighting
2 x energy efficient spotlights are supplied per 9sqm
Power
1 x single 4amp power point per stand, regardless of size
Flooring
1m x 1m carpet tiles in grey

CTL Exhibitions
It is strongly recommended that any exhibitor transporting freight to and from the MCEC use the services of a specialised exhibition focused freight forwarder. This will avoid potential problems with customs, duties, and deliveries outside designated times
CTL Exhibitions is the preferred logistics supplier at the MCEC. CTL Exhibitions provide a comprehensive freight handling/ logistics/customs clearance/ forklifting service and should be contacted directly to make the necessary arrangements. Charges will apply.

PUBLIC LIABILITY INSURANCE
All sponsors and exhibitors are responsible for their own insurance, including public liability. It is recommended exhibitors hold public and product liability insurance based on a limit of indemnity to the minimum value of $20 million dollars. This refers to damage or injury caused to third parties / visitors on or in the vicinity of an exhibition stand. We ask exhibitors to provide a copy of their insurance policy and certified currency upon request.
Please ensure all display builders, sub-contractors, suppliers and booth staff are given this information. They must be familiar with the venues regulations of use.
DELIVERIES
Standard operating hours for the loading dock are weekdays 0700 – 1630.
All exhibitor freight for ASO Congress 2026 must be delivered during your event tenancy times. Dates and times are specified below:
Wednesday 20 May: 0700 – 1630 Thursday 21 May: 0700 – 1630 Friday 22 May: 0700 – 1630 Saturday 23 May: 0700 - 1630
The MCEC are unable to accept early delivery of Exhibitor freight as there is insufficient space/ storage space available.

CUSTOM STANDS
If you are planning to exhibit with a custom booth, a detailed plan/ blue print will need to be provided for safety approval by the Melbourne Convention and Exhibition Centre (MCEC).
Custom Plan Approval
All custom stand plans and upgrades are required to be submitted to MCEC for approval no later than 30 days prior to your event.

Overhead Rigging
Please note that rigging overhead is permitted, but all custom plans MUST be sent for approval.
Please email your rigging requests no later than 30 days prior to the event to: rigging@mcec.com.au
Build Height
No more than 3 m high is recommended, plus rigging if applicable.
For any builds higher than this, please seek approval from rachael@eventstudio.com.au
Build Construction
Custom-designed booth sites are open to all exhibitors who book. There will be no refunds on the booth price for the non-use of standard exhibition hire modules. All contractors and exhibitors are to wear visible identification whilst in the venue.

VENUE (MCEC) Exhibitor Manual
Please refer to the MCEC Exhibitor Manual for all information you may need to plan, bump in, operate, and bump out your trade event stand. Information including safety protocols (emergency procedures, required safety gear during move-in/move-out, and tested/tagged electrical equipment), approvals required for special installations (like custom stands, rigging, open flames, etc.), and the need for site induction by exhibitors, contractors, and anyone onsite during setup or breakdown are included.
In addition, the manual includes practical logistics: freight forwarding rules, transport of goods (including move-in/out schedules), furniture and cleaning services, utilities (internet, water, power), food & beverage arrangements (including sampling), and how to order services.
In summary, the manual can be referred for a comprehensive guide to ensure exhibitors comply with MCEC’s safety, operations, and logistical requirements for a successful event.
VENUE (MCEC) INDUCTION
Please note it is a requirements for all exhibitors and other contractors/suppliers at the venue during bump in/bump out complete the MCEC site induction prior to coming onsite.

VENUE (MCEC) STAND ORDERING
MCEC's exhibitor services offers on-stand catering, personal internet packages and more on the Exhibitor Services Page. Please note there is a 7 business-day deadline prior to the event beginning to finalise orders. Please refer to the MCEC Exhibitor Manual for online order links.
STORAGE
There will be limited on-site storage facilities for packing materials and boxes. It is recommended that exhibitors consider their storage needs (packing crates and freight forwarding materials) for the duration of the exhibition. Exhibitors may not leave boxes and packing material in the exhibition display area during the show.
